To ensure that collaboration within the club is as smooth and comfortable as possible, all members are required to adhere to certain rules.
Club members must treat each other with respect, avoid conflicts, and foster a friendly atmosphere.
Members commit to:
- Not disclosing information about clients and projects obtained within the club.
- Not sharing details about tenders or clients of other members.
- Not passing confidential information outside the club without permission.
- Election of the Club Board
- The board is elected every 2 years to resolve internal issues.
- The board consists of representatives from different countries.
- Candidates are nominated by club members or the administration. Every agency can nominate 1 board member.
- Self-nomination is not allowed.
- The administration (BEIC’s CEO) has the right to nominate 5 members to the board directly.
- Members can veto a potential new member for valid reasons. The veto prevents conflicting agencies from being in the same club.
- Competition cannot serve as a valid reason for exercising veto rights.
- A veto is valid for one year and can be used against the same candidate no more than twice.
- Repeated vetoes will be reviewed by the club’s board.
- Valid reasons must be provided when exercising the veto.
- Recommendation of New Members
- Each member must recommend one agency for membership annually. The administration can accept or decline these recommendations.
- Members must attend at least one club event per year (online or offline).
- Voting on Meeting Locations
- An annual vote is held to decide the next meeting location.
- Members can choose an agency or a country for hosting events.
- The selected agency assists in organizing the meeting.
- Members must uphold the club’s reputation and avoid actions that could harm it.
- Contribution to Development
- Members are expected to share their experience and resources to help grow the club.
- Membership Restrictions after Exit
- Members cannot join competing organizations within one year after leaving the club. Competing organizations are defined as communities consisting of event agencies that foster collaboration between event companies.
- Termination of Membership
- Membership may be terminated for rule violations. The decision is made by a vote of the Board and Administration.
- Members can leave the club at the end of the calendar year without explanation.
- Members can collaborate freely with any company, regardless of location or experience.
- Members must compete fairly and avoid actions that harm other members or their businesses.
- Role of the Administration
- The administration ensures the smooth functioning of the club, organizes events, and resolves disputes. It has the final authority in decision-making, including:
- Approving or declining member recommendations.
- Intervening in rule violations or disagreements.
- Issuing official notices.
- Making final decisions on membership termination or significant actions in collaboration with the board when needed.
- The administration is responsible for nominating 5 members to the board directly.
